Sports club administration can be messy. It can stress you out, overwhelm you and if you’re not abiding by data protection laws, will have profound consequences come May this year. These struggles are the reason that Coacha was born.
When we speak to new subscribers, one of the most common reasons for them signing up to Coacha is the need to manage their finances in a more appropriate manner. Many of our current subscribers have come from multiple spreadsheets, unreliable paper records and direct debits that need manual chasing every month. The reason our subscribers love Coacha, is because it eliminates all of this.
One of our most useful features within Coacha is the Money Dashboard. This is one area of Coacha where you can view any member’s transaction history. We often get users call in, confused about how the Money Dashboard works, so we thought we would explain how and why it works the way it does.
The Money Dashboard is a log of all financial actions made between yourself and your members/parents. Rather than changing its status every time a different action is made; a new log will be added at the top. We’ve recently received a support request asking why a member’s payment is still showing as requested, even though the Money Dashboard says ‘Paid’. This is why, Coacha gives you a record of every action as well as every transaction.
Another point worth adding, is that the ‘Requested’ log will always show as £0. This is to ensure that this log does not skew your figures whilst it has not been paid.
We’ve also been asked why you can’t delete a log from the Money Dashboard, and why we must keep a full record of all actions made. This is because we are constantly striving to abide by best practice with regards to the General Data Protection Regulations (GDPR – read more here) and by presenting your information in this way, it is fulfilling gold standard GDPR requirements.
