Coacha records and reports a number of different payment statuses from our payment partners GoCardless and Stripe. This guide will highlight the most common payment statuses and what they mean in the money sections.
Requested
This status means that a member or next of kin (NOK) has received a request to pay, but they have not responded to it yet. Payment requests could be the result of you sending a one off payment request or be the result of a booking (classes, courses, 121s or venues). Members will usually have an email in their inbox with a payment request. They can also pay their bills by logging directly into Coacha on the web if they have a log in enabled.
Set Up
The Set Up status means that the member has responded to a payment request and it has successfully been set up. This is a very common status on subscription plans that have been set up. Please note that if the member has signed up to a plan and the first payment date has yet to pass (so it's still in the future), the amount next to this status will be £0.00. This isn't an error and is reporting correctly. It simply means that the first payment has not been taken yet, and will change as soon as the first payment goes through.
Pending
Here the payment is in the process of being taken but has not yet completed. Usually this status indicates that the payment is in the process of being collected through the UK banking system.
Complete
This status indicates the payment has been successfully collected by the payment partner, although the payment process itself has not fully finished yet. IMPORTANT NOTE: whilst payments with this status have been successfully taken from your members' bank, they will have not yet been paid out to your bank account.
Paid Out
These payments have been paid out to your bank account and the whole payment process has been completed successfully.
Failed (retrying)
Here the initial attempt to collect the payment failed, but the payment provider is trying to collect the payment again for you. Please see this guide on payment retries for more information on Retry Schedule.
Failed
In this instance the payment has completely failed. You will be able to see the reason for the failure by checking the payment history. You will often need to arrange another method of collecting your funds for payments in this status.
