Keeping insurance information up to date is an important part of managing your members. Coacha allows you to store insurance details directly within a member's profile and automatically track expiry dates. This will save you having to track policies elsewhere and instantly highlights any members that turn up to a class or session and don't have insurance or it is due to expire.
You can see when a policy is approaching it's expiry date or has expired, helping you maintain accurate records and ensure members remain appropriately covered. All insurance information is easily accessible whenever you need it.
Enabling the feature
To start using this feature, you will need to ensure that it has been enabled in the settings.
Head to Dashboard > Club settings > Club settings sub tab.
Once you have enabled this feature, you will be shown the following options:
Enable both options to ensure that insurance information can be recorded against each member and that their current insurance status is clearly displayed throughout the system.
This will allow you to easily identify members with active, expiring, or expired insurance policies.
Remember to hit 'Save' to keep all of your changes!
Adding insurance information
Once the feature has been enabled, anyone with an admin role can head to the member profile and update this information. Head to a member profile, where you will be given the option to add their policy number and renewal date.

Insurance Icons
Coacha makes it easy to stay on top of member insurance renewals with clear visual status indicators throughout the system. Once insurance tracking has been enabled, the following icon rules will apply:
- No icon – Insurance details have been added and the policy is currently valid.
- Amber icon – Insurance is due to expire within the next 30 days.
- Red icon – Insurance has expired or no insurance details have been recorded.
These indicators provide a quick and easy way to identify members who may require updated insurance information.

Where to view this information
Insurance status indicators can be viewed in two key areas within Coacha, making it easy to monitor member compliance at a glance.
In Attendance Registers
Navigate to Classes & Registers > Attendance Registers and open the register for the relevant session.
Here, you will see a list of all members booked onto the session. Each member's insurance status will be displayed using the appropriate status icon, allowing you to quickly identify anyone with expiring, expired, or missing insurance information.
On the Member List
Navigate to People > Your Members to view a complete list of your members.
The insurance status icon will be displayed alongside each member, providing a simple way to review insurance coverage across your entire membership base from a single screen.
