Sometimes members may enter their details into the club multiple times. The most common cause of this is when a member joins a class or course from a public page, rather than from their login. When this happens, duplicate members are produced in the system.
Coacha Automatic Detection.
Coacha will automatically detect duplicates by matching DOB, email address and name.
PEOPLE - YOUR MEMBERS
If you have duplicates in your Coacha, you will be notified via banner at the top of your member list:
To view the potential duplicate profiles - hit the View Duplicates button.
You can also select the Duplicate Attendee / Profiles tab:
The Duplicate Attendees / Profiles list.
Here you will see all of the potential duplicate profiles in your data. You will be presented with the number of duplicates, when the first and last account was created and the number of guest profiles.
You can Merge all duplicates of an individual directly from this page by hitting the MERGE PROFILES button above the member image.
Note : We recommend you view the profiles before merging all, to make sure you are merging the correct profiles.
You will also have the option to Merge All Profiles for all Duplicate Members in one go by hitting the pink button in the top right corner of this section.
Note: we recommend you spot check some of your duplicates before merging them all in one go.
Viewing and managing Duplicates (recommended)
To view the duplicates that Coacha has detected for a specific member click the 'View Profiles' button on the member information box. This will take you to all of the detected duplicates for a specific member.
This section will tell you the member name and the date that the first profile was created (1).
It will also show you all of the duplicates for each member as well as their status.
Important Note: Coacha will always preference the oldest profile to merge all other profiles into.
In this instance there is a Member Profile and a Guest Profile. You can hit Merge Profile on the individual duplicate to merge it to the main profile. (3)
Or you can hit the pink 'Merge all Profiles for this Member' button to merge all of the visible profiles into the main member profile. (2)
What happens when profiles are merged?
When you merge profiles, Coacha will move all of the data from the merged profiles into the main profile, to make sure everything is retained and kept in the right place.
This includes payments, attendance, broadcasts, course bookings, 121 bookings and more.
That it! Merging profiles is now automatic and easy.
