With Coacha, there is no need to send individual messages or rely on members checking social media for updates. You can communicate directly with your entire group, or their parents, all from within the system.
It is a simple and reliable way to keep everyone informed, while saving you time and effort.
To start connecting with your members, you will need to navigate to Broadcast > Send Broadcasts, here you will be given the option to send an email, text message or both!
It is important to note that email communication is included within Coacha. However, to send SMS messages, you will need to set up an account with our integrated SMS provider, Twilio.
You can find more information on setting this up here: How to Set Up and Integrate with Twilio for your SMS broadcasts.
Sending your Broadcast
To send a broadcast, begin by selecting the type of message you would like to send.
Text message
Once you have added your message content, you can choose whether it is a marketing message by selecting ‘Is this a marketing message?’. This ensures that any recipients who have opted out of marketing communications will not receive the message.
Email Broadcasts
Sending an email broadcast in Coacha works in a similar way to sending an email through your usual email provider. To get started, simply enter a subject.
You can also choose which email address replies should be sent to. Once this is set, you can add the content of your message and prepare it for sending.
To make this process easier, Coacha allows you to use Predefined 'Tags' to automatically add details such as member name to the broadcast when you send it.
Under GDPR, you must select the Marketing option if your broadcast contains marketing content. This ensures that anyone who has opted out of receiving marketing communications will be excluded from the message.
When sending email broadcasts (not combined with SMS), you can include attachments such as class timetables or event flyers.
To add an attachment, click the blue Upload a file button and select the document from your computer. Once the upload is complete, the file name will be displayed to confirm it has been added successfully. To remove a file, click the ‘X’ button to the right of the file name.
If you try to upload anything other than a Word document or PDF file, you will see the following error message:
You are now ready to select your recipients and send your message.
Click Add recipients to move to the next step.
Here you will see that the option to select the relevant member groups or classes from the dropdown menus and click “Add”. Those selected will then appear below in the “These people have been added” section.
Alternatively, you can tick "Send this broadcast to all of your members, guests, archived members or staff" and send to every member in your club
You can also search for members in the ‘Mass-add members’ section. To remove members from the Broadcast, click the red ‘X’ next to the member’s name:
On the left-hand side, you can also choose to send the broadcast to Next of Kin (NOK) and Secondary NOKs.
Please note that for members under 18, communications are always sent to their NOK, as they are the primary point of contact.
When you are ready, hit ‘Review & Send’ to preview your broadcast. Check the details are correct – if not, you can use the ‘Back’ button to go back and many any changes.
Once here you select the broadcast to send immediately or at a later date.
When you are ready for the broadcast to go out, click ‘Send’.
