Sometimes your classes, events, or courses can fill up quickly. While this is great news, last-minute cancellations can mean other members miss the opportunity to attend.
With Coacha’s waitlist functionality, you can ensure that any newly available spaces are quickly offered to interested members.
There are a few different ways to manage your waitlist in Coacha, so let’s take a look.
Option 1: First to respond
You can set your waitlist to open up bookings on a 'first to respond' basis. This means that when a place become available everyone on the waitlist is contacted at the same time, and the first to book will take the available place(s).
This is often the best way to run a waitlist for you, as you are much more likely to fill the new space quickly.
To enable this select the option to enable the waitlist option in your class, event or course settings.
Then select the first option, which will 'Open booking and send emails to everyone on the list at the same time.'.
Always remember to save your class, event or course.
Option 2: First to be able to book waitlist
You can offer available spaces to members based on the order they joined the waitlist. This follows a first come, first served approach and is often considered the fairest option.
However, there are a few things to keep in mind. There is a higher risk that spaces may not be filled before the class starts, particularly if those at the top of the list do not see or respond to the notification in time.
Coacha allows you to set how long members have to claim an available space. This can be anywhere from 1 hour to 72 hours, or a timeframe that suits your needs.
To enable first to register, first you will need ton enable the waitlist option in your class, evet or course settings.
Then select the 'Open booking to one member at a time, starting with the first member to join the list.' option.
You will then need to select the time interval between these invites being sent, bearing in mind that people may not see the invite immediately.
Sending your invites via SMS
Text message is much more deliverable, and often far more visible than email, with a 90%+ open rate.
Simply tick the 'Also notify member by text option':
Please note, that you will need to have a Twilio account set up in Coacha to send these texts.
Always remember to save your settings as soon as you have finished editing your class, course or event.
