Coacha's Fixtures feature has been developed to help coaches & training teams select specific individuals for matches, games, events and other fixtures.
This feature allows you to manage the status of team members and allows them to confirm if they are attend specific games or events, all in one easy to use interface, complete with innovative notification features.
The Fixtures feature has its own section in Coacha. You will see it in the Coacha navigation.
This Fixtures feature is designed to use a now familiar format in Coacha as it's based on the Classes & Events system, with the addition of a few new items.
Let's look at how to create a new Fixture.
Creating a new fixture
To create a new fixture, head to the fixtures section then hit 'New Fixture':
Adding your fixture's basic information.
Fixture Name = This is the title of the event that you would like your members to see.
Fixture Description = This is the description of the event to help your members / players understand what the event is.
Fixture Location = Here you can enter the location of the event.
Fixture Directions = If you have directions to the event you can add them here.
Who is conducting the fixture = This is where you can select the training team that will be attending the game, match or event.
Fixture URL = This allows you to add a google map link, a location website or any other type of external URL that is relevant to the event
Entering the date and time of your fixture.
Once you have provided the basic of the fixture, you can specify it's date and timings:
Team Selection
Now we come to the important part of the fixtures system - the Team Selection. This section allows you to add people to a list of potential attendees. This section will also allow you to manage the status of the players, and allow players to let you know their intent/availability.
Selecting the team
To select the people you would like to invite to play you have a couple of options.
Firstly, you can add members individually. Simply start typing the name of the player or member in the 'Add Person' box - and click the member you want to add. You will see them added to the bottom of the page as you select them.
Secondly, you can add everyone in a specific member group. This can be a great way to mass add a team to the selector in just one click. Simply select the member group then hit 'add member group'. Again you will see everyone in that member group appear below.
By default these members are added with the status of 'Invite'. This means that when you hit 'Save' on the fixture, they will all get an email asking them to confirm their availability for the fixture.
Here is the type of email the member or player will get asking them to confirm the fixture. They can simply hit the button in the email to let you know their availability.
Once the member has responded with their availability, you will be informed of their response both by email and in your Coacha Notifications Panel.
Managing your team and selecting the final team for your match
Once your members have stated their availability, you will be able to see all of the members status' and can then select your team from those that are available.
Before picking your team your members can be in a number of status':
Invite - This is the status of a newly added member. They will be invited to the fixture on save.
Not sure - This is a status for a member who is unsure if they can make that specific fixture. For these members you may want to reach out and contact them about the event or fixture.
Unavailable - This status means the member cannot make the fixture date or cannot attend.
Available - This status means that this player or member is happy to be selected for the fixture.
These status' allow you to make informed decisions when picking your squad or team for the fixture.
Picking your team or squad for the fixture
When picking your squad, you simply need to select the 'Picked' status in line with the members name.
On save this will send the member a notification email that they have been picked for the event.
If you have a large list of members who have been invited to a specific fixture you can get a quick overview of the status of the members in the fixture summary:
NOTE: sometimes this summary may be below the 'create a fixture box' on your screen.
NOTE: - Always be sure to 'SAVE' your fixtures to send picked status' and invites to your selected players.
Recording attendance at a Fixture.
When attending fixtures you may want to record who has turned and who hasn't. This can be especially important when you are looking after children at the event. Therefore all fixtures automatically have their own Registers created.
These can be found in the registers section in the navigation: CLASSES & REGISTERS > ATTENDANCE REGISTERS.
The registers automatically add all 'Picked' status players or members. When you mark them as present, in the register, their status in the fixture will be changed to 'Played'.
Managing, cloning and archiving your fixtures
At any time you can edit, copy or archive your fixtures by going to the 'Your Fixtures' section.:
Edit = Allows you to view the summary of fixtures, invite more people or see the status' of people who have been invited.
Clone = Clone allows you to copy a previous fixture, including the invitees. This is super useful if you often need to invite the same people to your matches or games. Simply clone the last game - change the dates and details then hit save - everyone who was invited to the last game, will be invited to this one!
Archive = To keep your list need and tidy you can archive your fixtures by hitting the archive button.
