Managing Payments on your Courses, Camps or Seminars

Whether you are running a course, holiday camp, seminar, workshop, or special event, Coacha provides a range of payment options to help you collect and manage payments efficiently.

You can tailor your payment setup to suit both your club and your members.

First step is to create your course: Courses, camps and training blocks in Coacha

Enable PAYG

Enable this setting to start collecting payments for your course. Once selected, additional payment configuration options will become available, allowing you to choose how participants are charged for their booking.

Pro-rata 

This will figure out how many sessions are left on the course and charge the member for the remainder of the sessions.

Close Bookings After

If you would like to stop members or guests from booking onto a course after a specific date, enable this option and select your chosen cut-off date.

Once this date has passed, the course will remain visible, but no further bookings can be made. This is particularly useful for ensuring registrations close before the course begins or when you need time to finalise attendance and make preparations.

Individual Class Bookings

If you are running a longer course, you may want to give members the flexibility to book onto individual sessions rather than the entire course.

Enable the ‘Allow individual session bookings’ option and enter the price for each session within the course.

Note: You can set different prices for different sessions, allowing you to charge varying amounts throughout the course.

Once this feature has been enabled and prices have been assigned, members and guests will be able to book onto individual sessions. They will only be added to the registers for the specific sessions they have booked, making attendance tracking simple and accurate.

Setting an Early Bird Price

If you would like to give a discount price for members or guests who sign up to your course early, tick the Early Bird Price setting. Enter the amount you want to charge for your early bird price then when the deal expires by selecting the 'Until' Date:

You can also create separate pricing for guests, allowing non-members to be charged a different rate from your existing members.

In addition, an Early Bird Guest Price can be configured, giving guests access to a discounted rate if they book before your chosen cut-off date.

Selecting payment method

Finally, you will need to select your preferred payment methods. Coacha allows you to offer multiple payment options, so you can choose as many as you would like to make available to your members and guests.

Once you are happy with your payment setup, click ‘Save’ to apply your changes. Your course will then use the payment options you have configured for all future bookings.
