Offering trial and taster sessions is a great way to introduce new people to your club and encourage future memberships.
Coacha custom allows you to make selected classes available on your Public Calendar, enabling prospective members to easily book onto introductory sessions online.
This guide will walk you through how to set up trials and taster sessions in Coacha.
Note: Please be aware that a subscription to Coacha Custom is required to benefit from this feature.
Enable the feature
Head to Dashboard>Coacha Custom>Features and toggle on the Public pages feature.
Enable public booking for a class
The first step in enabling trial bookings is to ensure the feature is enabled for the class you would like to make available on your public page.
This can be configured within each course setting by heading to Classes & Registers > Your Classes and enabling
'Show this class on the public pages' to see the options for your trial classes.
Show this session on the public pages - This will show the session on the Public Calendar.
Allow this session to be booked as a trial - This will make this session available to trial / taster bookings.
Trial requires payment - Enable this feature to charge your guest a price for the session they are attending.
Send an email to attendee when trial session attended - This option allows you to send a custom onboarding email to people after they have attended their trial. On this email you can offer membership options, outline your sign up process and even collect feedback.
Remember to save your class so that your classes will be displayed on the public calendar!
Setting up your Public Page.
To set this page head to the Public Pages Section > Course Bookings
Here you will be able to set up the page and control its visibility. Let's explore the various options.
Enable & Configure
Enable - First you need to enable the feature. Once you have ticked this option all other options for the feature will appear.
Public - This allows you to control whether the feature is visible to the public or hidden whilst you configure this feature.
Show Logo - If you are using the Coacha generated Public Pages (so not adding to a website) you can brand the page with your own logo. If you are embedding the page in your website you may want to keep the logo turned off so that it seamlessly looks like a part of your own website.
Allow class & course bookings: This allows your member and non-member book onto sessions.
Skip straight to trial class bookings: This feature adjusts the calendar view to only show the trail sessions.
Securing your public page
To ensure that your public page is only displayed on the website you want it to be, here you can specify your website address. This will mean that the feature will only display if embedded on your website.
Add your website address and then hit the + symbol to add your web address and make the public page more secure.
To remove a website address, hit the trash can next the the greyed out address and try again.
The web address (URL) of your Public Pages (if you are not embedding in a website)
This section shows you the URL of your Public Pages hosted by Coacha. If you do not want to embed your page into your website, you can use this address as a direct link to add to your social media and emails, and to send to members and non-members alike.
Code snippet for embedding
Note: For a general guide to embedding your public pages into popular website editors, please click here.
The 'Code Snippet' is the pre-filled code that you can simply drop into your website editor where you want your pages to appear. You will only need to do this once and any changes you make in your Public Page settings will automatically appear in your web page.
What do your members see
Skip straight to trial view:
This option allows users to bypass the standard Public Calendar view and see only the classes that are available for trial bookings.
This provides a streamlined experience, directing prospective members straight to the available trial sessions and making it quicker and easier for them to book.
As trial bookings are designed for new participants, both existing members and non-members will be required to complete the booking form in full before their place can be confirmed. This ensures your club collects all the information needed to manage attendance and follow up with potential new members.
Full calendar view:
The Full Calendar View option allows both members and non-members to browse all available classes, courses, events, and trial sessions that have been enabled on your Public Calendar.
Where spaces are available, users will be given the option to book directly onto the session.
Existing members can simply log in using their Coacha account to complete their booking, while non-members will be prompted to complete a registration form before securing their place. This helps ensure your club collects all the information required to manage bookings and communicate with attendees effectively.
How do you find trial and guest members?
People who book onto classes/courses as guests, and are not registered members, and they will automatically be added to your People section under the ‘Guest’ filter.
These individuals will also have a ‘Guest’ tag added to their profile, making them easy to identify and manage separately from your existing members.
They will have a profile like other people in the system that you can take action on. You will be able to see in the 'Attendance' tab, which events they have attended. You will also be able to broadcast to guests to inform them of more upcoming events.
Guest bookings will create a profile within Coacha, just like any other person in the system, allowing you to manage and interact with them when needed.
Within their profile, you can:
- View their attendance history through the Attendance tab.
- See which classes, courses, or events they have attended.
- Send broadcasts and communications about upcoming sessions, courses, and events.
- Track their engagement with your club.
Trial bookings work in a very similar way. Trial participants will have a profile created in Coacha containing the same information as a guest profile, with the added benefit of displaying the specific trial session they have booked onto.
To help coaches and administrators manage trial attendees, trial members are clearly highlighted within the class register, making them easy to identify on the day of the session.
