The start of a new term can be stressful, especially when trying to ensure that all members/parents make their payments on time. On top of club admin, between trying to get your club into shape for GDPR and actually coaching, things can get busy.
Using Coacha eliminates a lot of the stresses of admin, but one thing Coacha unfortunately can’t do, is ensure that your members/parents manage to set their card details up on time, although I’m sure this feature would be a hit if we could!
A question that’s been asked by one club lately, is ‘what happens if a member/parent doesn’t setup their subscription before the payment date?’. For example, if the first payment date is the 1st March, and the payment is eventually setup on 2nd March, many of you may not even notice that the payment setup was late and if this is the case, March’s payment won’t be taken. This is because the payment date has already passed. So, the first payment will be scheduled to come out on the next billing date, which would be 1st April. If this happens, worry not, we’re providing you with a work-around.
You can make use of Coacha’s ‘One-Off Card Payment’ feature. If you’ve not used this before, it can be executed in the same way as a subscription, whereby a payment request is sent to the member/parent and they view the information and enter their card details. This will be a one-off transaction as apposed to setting up a recurring payment. You simply send a one-off payment request for the same amount that their subscription costs.
Although parents may feel put out by having to input their card details again, you should explain that the reason they need to do so is because they were late for the deadline. Therefore, March’s payment has not been made.
